Job Scope

The main purpose of the Facilities and Health & Safety (H & S) Manager is to have oversight and management of all school facilities. This includes:

        Oversight, onboarding, training, management and quality assurance of all facilities contracts

        Maintenance of the school facilities

        Management of school transport

        Supervision of school campus cleaning

        Implementation of the school Health and Safety policy and reporting.

        Acting as the school’s Health and Safety Officer

        Implementation of the school/ISP Group ESG policy and decarbonisation.

        Ensuring school compliance with the requirements of all legislation

        Overseeing a budget

        Negotiating with outside vendors for supplies, repairs and other measures.

Main Duties & Responsibilities

 

This is not an exhaustive list of all duties and responsibilities.

School and Facilities Management contracts

        Review all school facilities contracts (Clinic/ transport/ facilities management/ cleaning/ facilities rental/catering) periodically to ensure profitability whilst maintaining a quality service.

        Engage in contract discussions with providers to source the best possible provider to meet the needs of the school.

        Take the lead on onboarding all new contracts to ensure seamless transition.

        Ensure training is complete.

        Monitor and quality assure the services provided by all contracts to ensure they are meeting the terms of agreed contracts and meeting the EC standard.

School & School Accommodation Overall Maintenance Management

        In charge of all school and school accommodation maintenance

        Ensure all requests for maintenance are completed

        Establish procedures to maintain and track all maintenance work      accomplished

        Technical and logistic support for the whole school

        Develop a litter free site and local environment

        Develop a recycling-based working environment

        Identify and undertake maintenance duties as required to improve and support the safe and effective operation of the site

        Strategically map in maintenance work to be completed over a 3 year cycle.

        Work with the Site Team during school holidays in support of a ‘Program of Works’ – including organising, decorating and arranging the school setup

        Ensure all maintenance contracts are recorded and tracked

Site based Health and Safety Risk Assessments and Compliance

        Undertake and review, at least annually, all site-based Health and Safety policies, Risk Assessments, practices and procedure and to ensure that the site is safe for students, staff and visitors

        Liaise with external H&S audit agencies and provide reports/data as needed to ensure school is fully compliant with all legislative requirements

        Undertake regular inspections of the school premises to identify any potential hazards and be the first point of contact for dealing with identified hazards in the school

        Maintain the Sai360 system for reporting hazards and ensuring actions taken

        Ensure that access and egress to site is maintained to minimise health and safety risks to acceptable levels and maintain access to site for emergency services

        Be responsible for conducting fire drills and monitoring their effectiveness

        Provide a report to The Principal and WSLT (Whole School Leadership Team) on Health & Safety issues

        Work with the Head & Safety Coordinator to ensure the safety of the school site at all times.

        Ensure that, all the necessary health and safety rules and procedures are being followed

        Maintain an awareness of all the health and safety measures to be taken when in school

        Take all necessary and reasonable precautions to protect students, equipment, materials, and facilities

Transport Maintenance & Safety

        Manage new student registration for the transport service

        Plan and implement bus routes in conjunction with the transport services provider

        Regularly review all aspects of school buses safety including servicing/repairs and organising appropriate training for staff

        Coordinate all the transport needs of the School

Clinic

        Line manage the clinic team

        Maintain First Aid supplies

        Keep records of first aid incidents to ensure that the school environment is as safe as possible

        Ensure all incidents are recorded on the Sai360 system

        Ensure that an appropriate training regime is established for staff who are or who wish to become first aid qualified

        Ensure that all students, staff and other members of the school are aware of the procedure when, immediate first aid is required

        Ensure that all staff have appropriate training each year for use of the school’[s Evacuation chair and Defibrillators.

Customer Care

        Provide quality customer service for all

        Collaborate with customers and do what needs to be done to meet their needs

        Be solution focussed - respond to customer feedback promptly and work to address their concerns

        Inform the Principal about what customers say in relation to the services delivered and the actions taken to address these

        Dress and act at all times as an example to the students and staff within the school and to create a professional image for parents and other visitors

Professional Development

        Actively seek out and access development opportunities and ensure time is spent identifying your professional development needs

        Share good practice across other members of staff
 

ESG

        Oversee the implementation of sustainability initiatives within facilities, ensuring alignment with ESG goals such as energy efficiency, waste reduction and carbon footprint reduction.

        Monitor and report on energy usage, waste management and other key ESG metrics, using data to recommend improvements that contribute to the overall sustainability goals of the organisation.

Other duties and responsibilities

        Any other duties that the Principal may from time to time ask the post-holder toperform

Position Requirements

Qualifications and

related Experience

Education:

        Bachelor’s Degree from a relevant field preferred

        Health & Safety Certification
 

Experience

        At least 5 years of working experience in UAE    

        Experience of implementing directives including the Health and Safety at Work Act in a working environment relating to fire precautions, regulations and appropriate safety procedures

        Well-versed in technical/engineering operations and facilities management best practices

        Evidence of practical application of sound judgment and ability to manage complex large site organizational issues

        Strong understanding of warehouse control systems

        Able to read and understand complex electrical, mechanical and automation systems

        Working knowledge of electrical, mechanical systems
